How are we different from other document imaging systems?
Simply put, we created a better mousetrap. The technology we use with our software creates metadata fields within a PDF file and embeds the key search words into the document. This allows you to achieve very accurate search results without the corresponding need to manage a database. In effect, our documents are the database and unlike traditional databases, electronic PDF files are very stable. Furthermore, they can be managed by anyone who possesses basic computer skills. This benefits your organization by:
- A lower total cost of ownership,
- A more stable system, and
- A system that is easy to maintain.
By embedding the key search words into the Metadata we achieve very accurate search results and avoid the inherent limitations of a database / file structure document imaging system.
You are not held hostage by the vendor
We found that most document imaging companies charge a significant fee when you stopped using their system and changed vendors. This was true even when it was the software company the discontinued the product and discontinued support. For example, this was the case when a major scanning company discontinued software called CanoFile. It came as a shock to many customers to find that the standard price to transfer information from the database of a CanoFile system to another document imaging system was between $50,000 and $200,000. For many companies this scenario could have been avoided if they had asked a critical question: What is the cost of a database-to-database transfer of the data if we discontinue with your company?
This may be the most important issue in deciding which document imaging system to purchase because documents are the lifeblood of most organizations. With our system we use the PDF file format which is an open file format (non-proprietary) and by embedding the key search words into the metadata fields, you will always have access to your documents. There are no costly database to database conversions. There are not exit licensing fees that are associated with a proprietary file format. So, just like paper you will always have access to your documents. Nobody holds the key to the file room, denying you access to your documents.
Ease of use
We understand that unless software is easy to use, people won't use it. So we designed our system to be as easy as 1,2,3.
1. You will enter the key search words into a search field to electronically find and retrieve a document.
2. A list of documents matching the key search words are instantly retrieved and displayed in a search results window.
3. You will select a document from the search results window and view the PDF version of the document.
As you can see, there is very little that an end user needs to learn in order to use our system. This allows you to quickly and easily integrate our system into your daily operation with minimal disruption to the workflow.
Cost
We do not charge a per-seat fee to search, retrieve and view your documents. It doesn't matter if you have 10-people or 10,000-people on the network, the price is the same, zero! We base our pricing on the number of workstations that are labeling the documents with key search words.
We also do not charge a fee based on the number of documents that you index which is the case for some of our competitors. For example, a Google appliance will allow you to index 1,000,000 electronic documents created by our system for $32,000. Our system allows you to index over 100,000,000 (100X the number of documents indexed by Google) and is included in the price of our system.
We will do a cost justification analysis so that you can clearly see the value of a document imaging system. The following graph is a sample illustration of the benefits for one of our customers. As you can clearly see, there is a substantial economic value to be gained by implementing a document imaging system. We can provide a more comprehensive analysis for your organization.
